Wyld Heart Deposit, Cancellation, and Insurance Terms & Conditions

By submitting a deposit and completing registration, you agree to the following Terms & Conditions.

Deposit Policy

A 25% deposit is due at the time of registration to secure your spot on the trip.
Of this deposit, $920 is non-refundable and non-transferable under all circumstances.

The remaining balance of the trip cost is subject to the following cancellation schedule:

More than 120 days prior to departure:
Full refund of payments made, less the $920 non-refundable portion of the deposit.

91–120 days prior to departure:
50% refund of total trip cost, less $920.

61–90 days prior to departure:
25% refund of total trip cost, less $920.

60 days or fewer prior to departure:
No refund of any payments made.

All cancellation requests must be submitted in writing via email to:
jess@wyldheartco.com

The effective date of cancellation is the date the written notice is received.

Trip Cancellation by Wyld Heart

If Wyld Heart cancels a trip for reasons other than force majeure, participants will receive a full refund of all payments, including the deposit.

If a trip is canceled due to force majeure, including but not limited to natural disasters, political instability, pandemics, government restrictions, or other circumstances beyond our control, Wyld Heart will make reasonable efforts to:

Refund recoverable costs, or

Apply payments toward a future Wyld Heart trip

Refunds in force majeure situations are limited to amounts recoverable from third-party providers.

Required Travel Insurance

All participants are required to carry travel insurance for the full duration of the program.

At a minimum, insurance coverage must include:

Emergency medical coverage

Emergency evacuation coverage

For all international trips, participants are also required to carry:

Trip cancellation insurance

Trip interruption insurance

Travel insurance is an essential condition of participation and serves as the participant’s primary financial protection if unforeseen circumstances prevent participation or require early departure.

No Refunds for Uncontrollable Circumstances

Wyld Heart does not provide refunds for circumstances beyond our control, including but not limited to:

Weather or environmental conditions

Safety-based itinerary changes

Illness or injury

Political or governmental actions

Partner or outfitter availability

Participant inability or decision not to attend

Trip cancellation and interruption insurance is the participant’s responsibility and is intended to cover these situations.

Insurance Disclaimer

Wyld Heart is not an insurance provider and does not guarantee reimbursement of trip costs.

Participants are solely responsible for selecting an insurance policy that adequately covers:

Medical needs

Evacuation

Trip cancellation and interruption

The full financial investment of the trip

Many participants use providers such as Allianz, Travel Guard, World Nomads, or AIG Travel. Some travelers rely on coverage through a credit card or airline; however, it is the participant’s responsibility to confirm that such coverage meets all requirements outlined above.
